Who this is for

This guide is for kitchen team members using Chef-Ops-Pro day to day. You’ll only see the modules your manager has switched on for your property, so don’t worry if a section here doesn’t appear in your account.

**Note on Outlet Managers:** if you’ve been given Outlet Manager access for your outlet, you get everything in this guide plus a few extra permissions, called out where relevant below.

Getting Started

– Your account is activated from an invitation sent by your manager

– Log in with your email and password (there’s a “remember me” option)

– Use the password reset link if you forget your password

– Your Dashboard gives you an overview of the day’s operational status

– On mobile, the sidebar is hidden by default — tap the menu icon to open it

Account Management

– Manage your profile: avatar, display name, and password

– View your annual holiday entitlement and how many days you’ve used, have pending, and have remaining

– Submit time off as either:

  **Holiday** — counts against your annual allowance

  **Day Off** — at your manager’s discretion

– Requests need at least 14 days’ notice, and show as Pending, Approved, or Rejected

Temperature Logging

**Food Temperatures** — log AM/PM checks by session, with out-of-range flagging and corrective action notes. Includes **Hot Hold** sessions (Hotbox and Display) — both now require you to record a starting temperature before the session can be saved.

**Refrigeration** — record fridge/freezer readings with timestamp and your name attached. Out-of-range readings trigger an immediate notification to your manager.

**Blast Chill** — log the start and finish of a rapid-cooling batch.

**Probe Calibration** — log and view your probe calibration history.

Kitchen Operations

**Rotas** — view your weekly shifts and hours, or switch to see the whole team’s schedule. The rota is bookmarkable on mobile for quick access. Only published weeks are visible to you; your manager builds and publishes the schedule.

**Team Log** — read and write shift handover notes in chronological order.

**Stock & Ordering** — submit a request for low or missing supplies. Your manager will mark it as **Ordered** or **Rejected**.

**Maintenance** — report equipment issues with an urgency level (Low/Medium/High) and an optional photo.

**Food Cost** — read-only view of monthly cost, sales, and food-cost-percentage figures.

Incident Reports

Report any incident — food safety, allergen, personal injury, near miss, pest sighting, equipment failure, customer complaint, or environmental — with severity, location, witnesses, and immediate action taken. For serious incidents, you can note RIDDOR-relevant details (injured person, category, injury type).

You can edit an incident you’ve reported while it’s still **Open**. Once it moves to In Progress or Closed, only your manager can make further changes.

**Outlet Managers additionally can:** move an incident through Open → In Progress → Closed, add and reassign corrective actions, and see incidents reported across every outlet, not just their own.

Food Safety (SFBB)

– View your property’s live compliance score across the five Safer Food Better Business sections

– View the cleaning schedule (read-only)

– Log a pest control sighting or treatment record

Delivery Temperatures

When a delivery arrives, log:

– Supplier (chosen from a dropdown your manager maintains, or typed manually if not listed)

– Product name, type, and temperature

– Package condition

– Whether the delivery was **accepted** or **rejected**, with a corrective action note if rejected

Reports

You can view and export every report tab — food temps, blast chill, fridge temps, maintenance, delivery temps, incidents, and food safety — as CSV or PDF. (The combined EHO Pack and Quarterly Export are reserved for Admins.)

Compliance Tasks

– Complete assigned training with an e-signature; you’ll get alerts before it expires

– Complete daily HACCP checklists — a legal requirement, with each task timestamped

– View policy and procedure documents (read-only)

Messaging

Message your outlet’s manager directly if you need to raise something with them.

**Outlet Managers additionally can:** send messages and broadcasts to everyone in their own outlet.

Security

Always log out explicitly when using a shared device.
