Who this is for

Outlet Manager sits between Staff and Admin: it’s for someone with real day-to-day authority over **one outlet** at a multi-outlet property, without full Admin control over the whole property. If your property doesn’t have the Outlets module enabled, this role doesn’t apply to you — see the Property User Guide instead.

Outlet Manager can only be granted from **Users & Access** after someone has already joined as Staff — you can’t invite a new user directly as an Outlet Manager (see in the Property Admin Guide).

> **Important:** unlike regular Staff, who use the mobile-friendly top-tab portal, Outlet Manager gets the **same sidebar dashboard layout Admins use** — just scoped down to fewer sections and, within those sections, to your own outlet.

Getting started

1. Sign in the same way as any other user, with your email and password.

2. Like an Admin, you’ll be asked to set up an **App Lock** PIN or password the first time you sign in.

3. You land on the same kind of Dashboard an Admin sees — **Needs Attention**, compliance figures, and module cards — but scoped to your outlet.

4. An **”All outlets ▾”** switcher sits in the top bar if you’re covering more than one outlet. A banner under the header reads **”Part of [Organisation Name]”** if the property belongs to a multi-site group.

Your sidebar is a trimmed-down version of the Admin’s: **Dashboard, Account, Temperatures, Kitchen Ops, Food Safety & Compliance, Human Resources.** Sections like **Settings**, **Audit Log**, and **Users & Access** are Admin-only and won’t appear for you.

Rotas — build and publish your own outlet’s rota

1. Go to **Kitchen Ops → Rotas**.

2. Add shifts the same way an Admin does — click the **+** next to a day, fill in the details, save.

3. Your outlet’s rota starts as **Draft**: *”Your outlet’s rota is not yet published — your team cannot see their shifts.”* Click **Update Rota** to publish it.

This publish/unpublish state is **independent per outlet** — publishing your outlet’s rota doesn’t affect any other outlet, and the property’s Admin retains full, unscoped visibility and override over every outlet’s rota at all times.

Incidents — cross-outlet visibility, with control over your own

Go to **Food Safety & Compliance → Incidents**. Unlike Staff, you get an **All Outlets** filter here — you can see incidents reported across every outlet at the property, not just your own. You can move an incident through **Open → In Progress → Closed**, and add and reassign corrective actions, the same as an Admin can.

Maintenance — acknowledge and complete reports

Go to **Kitchen Ops → Maintenance**. Click **Mark read** to acknowledge a report, then **Mark completed** once it’s resolved — the same two-step flow an Admin uses, scoped to your outlet’s reports.

Checklists — create and manage, not just complete

Go to **Food Safety & Compliance → HACCP Checklists**. You get all three tabs — **Today**, **Manage Checklists**, and **Create / Import** — meaning you can build or import a checklist template for your outlet, not just run one someone else set up.

AM/PM Routine

Go to **Kitchen Ops → AM/PM Routine** to set up and run your outlet’s guided AM/PM walk-through, covering checklists, temperature checks, and maintenance in one place.

Sickness and Return to Work

You can mark a member of your outlet’s team as sick and complete the Return to Work procedure with them when they’re back, the same workflow an Admin uses for any staff member — but scoped to people assigned to your outlet.

Outlet Messaging — broadcast and message your team

Go to **Kitchen Ops → Outlet Messaging**.

– Click the **Broadcasts** tab, then **+ New broadcast** to send a message to everyone in your outlet at once.

– Click the **Private Messages** tab to message one person on your team directly.

This is separate from the org-level **Messages** page (announcements from your organisation’s Super Admin, if the property belongs to one) — Outlet Messaging is specifically for talking to your own outlet’s team.

What stays Admin-only

Even as an Outlet Manager, some things remain out of reach — and stay that way by design, not just hidden in the UI (every restriction below is enforced server-side):

**Users & Access** — inviting, editing, or removing staff, and granting Outlet Manager itself

**Settings** — property-wide configuration, thresholds, modules, suppliers, billing

**Audit Log**

– Any other outlet’s data outside what’s explicitly shared views (like the Incidents “All Outlets” filter)

If you need one of these, ask your property’s Admin.
