A hotel events kitchen was running a 180-cover gala dinner. The format was a pre-dinner reception of ninety minutes, followed by a four-course dinner with speeches between the main course and dessert. The speeches ran long — as they always do.

The main course had been held in hotboxes from the moment plating was complete, waiting for the signal from front-of-house. The signal came ninety minutes later than the run-of-show had planned.

By the time the main course went to the pass, the hotboxes had been holding for two hours and forty minutes. The temperature of the food at the point of service was not checked. There was no interval record for the holding period. There was no documented check at the point of service. The food went out.

Nobody got sick. The event was considered a success.

But the kitchen had served food with no documented evidence that it had been safe to serve — and if anyone had become unwell, the compliance picture would have been very difficult to defend.


The Events Catering Hot Hold Problem

Events kitchens operate in a fundamentally different environment to à la carte restaurant service. In an à la carte kitchen, the gap between cooking and serving is measured in minutes. Tickets come in, food is cooked, it goes to the pass. Hot hold is a short-duration bridge between the kitchen and the customer.

In an events kitchen, that bridge can be measured in hours. A banqueting operation cooking for 200 covers has food coming off the stoves well before the dining room is ready. The canapé pass runs while the first course is being plated. The main course goes into hotboxes while speeches happen, welcome drinks are extended, or technical difficulties delay the programme.

These scenarios are entirely normal in events catering. But they create hot hold durations that are genuinely high-risk without active monitoring, and that require documented interval checks to be defensible.

UK food safety law requires hot food to be held at 63°C or above. The two-hour tolerance for food below 63°C is exactly that — a tolerance, not a licence. In the scenario above, the food held for two hours and forty minutes. Whether it remained above 63°C throughout that period was unknown. The interval checks that would have answered that question had not been done.


What the Records Should Have Shown

For a banqueting main course held in hotboxes for an extended period, the compliance record should include:

  • The temperature of the food when it went into the hotboxes, confirming it was cooked to a safe internal temperature before holding began
  • The start time of the hot hold session
  • Interval temperature checks at appropriate intervals — in most HACCP plans, hourly is the minimum for extended holds
  • The temperature at the point of service
  • The total holding time
  • A disposition record for any food not served

If a check during the holding period had shown a temperature below 63°C, the HACCP plan’s corrective action would have required a decision: reheat to 75°C+ and continue, or discard. That decision — and its documentation — is exactly what due diligence looks like in practice.

Without the record, due diligence cannot be demonstrated. Without the interval checks, the decision cannot be made.


Planning Hot Hold Into the Events Programme

The practical solution for events kitchens is to treat the hot hold period as a scheduled operational element — not an afterthought between cooking and service. This means:

Building check intervals into the run-of-show. If the main course is expected to hold for up to two hours, interval checks at 45 minutes and 90 minutes should be in the operational plan as explicitly as the plating time and the service time.

Assigning responsibility by name. The check should be assigned to a specific member of the brigade, not left to whoever is available. In the pressure of a large event, unassigned tasks do not get done.

Logging at the point of check. The temperature is taken, the number is entered, and the record is time-stamped. Not retrospectively at the end of service.

Planning for the overrun. Events never run exactly to time. The operational plan should include a contingency: at what point does the holding period trigger a reheat or discard decision, regardless of whether the front-of-house programme is complete?
